1. Data Collected

When you install and use Pyramail, we collect your email address from your Google account. This is used to identify you as the sender of emails, manage your account, and determine your subscription tier (free or premium).

When you use the Service, you might share with us data contained in your Google Sheets spreadsheet, including recipient email addresses, personalization fields, and email content. We process this data solely to provide the Service.

By using certain features of the Service, we may also collect:

• Email engagement data: If you enable tracking features, we collect information about whether your sent emails were opened, links were clicked, or recipients unsubscribed. This data is tied to your spreadsheet and does not contain the personal information of your email recipients.
• AI-generated content: If you use our AI-powered email features (Create, Refine, or Convert to HTML Template), your email content and/or prompts are processed by third-party AI services to generate or improve email text. This content is not stored after processing is complete.

2. Purposes of Processing

The principal purpose of collecting your Personal Data is to offer you a safe, efficient, and personalized experience. You agree and accept that we use your Personal Data to:

• Provide our Service and facilitate its performance, including sending emails, tracking engagement, and managing follow-up sequences.
• Manage your account and determine your subscription tier.
• Enforce usage limits (such as AI request quotas).
• Resolve any problems so as to improve the use of our Service.
• Comply with legal and/or regulatory obligations.

We do not use your data for advertising, profiling, or any purpose unrelated to providing the Service.

3. Google API Services User Data Policy

Pyramail's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In particular:

• Pyramail only requests Google API permissions that are necessary for its core functionality.
• Pyramail uses the gmail.send scope exclusively to send emails on your behalf. Pyramail does not read, search, modify, or delete any emails in your Gmail account.
• Pyramail reads and writes data only in the Google Sheets spreadsheet where the Add-on is actively in use.
• Pyramail does not transfer Google user data to third parties except as necessary to provide the Service (as described in Section 4), or as required by law.
• Pyramail does not use Google user data to serve advertisements.
• Human access to Google user data occurs only with the user's explicit authorization (e.g., to provide customer support) or as required by law.

4. Disclosures

Personal Data collected through the Service is destined for Pyramail's own use and will not be sold, rented, or forwarded to third parties, except to our service providers in order to provide the Service.

We use the following third-party service providers:

• Google Cloud Platform (Firebase): For account management, subscription tier storage, and temporary email tracking event processing.
• Google Gemini API: For AI-powered email composition and refinement features.
• Groq API (fallback): For AI-powered email features when the primary AI service is temporarily unavailable.

In no case does Pyramail sell, share, or rent out your data to third parties, nor do we use it for any purposes other than those set forth in this policy.

We may also disclose Personal Data to the extent required by law and/or competent authorities.

5. Third-Party Data

In the context of using our Service — namely sending email campaigns — you might share with us information contained in your spreadsheets (such as recipient email addresses, recipient names, and other personalization fields), as well as the subject and content of the emails sent out via the Service (including attachments).

As the creator of your mailing lists and associated email campaigns, you are considered the data controller, and Pyramail acts only as a data processor. In this capacity, you are responsible in particular for:

• Obtaining any necessary consent from your recipients when collecting their Personal Data.
• Complying with all applicable data protection laws and regulations.
• Ensuring your authority to use the Personal Data in accordance with its intended purposes.

Pyramail does not sell, share, or rent any of this third-party information, nor do we use it for any purposes other than providing the Service.

6. Data Retention

Pyramail collects data for the purpose of carrying out its Service and retains this data only for as long as necessary:

• Account data: Retained for as long as your account exists. You may request deletion at any time.
• Email tracking events: Temporary in nature and automatically purged from our servers shortly after being synced to your spreadsheet.
• Templates and settings: Stored locally within your Google account's script properties and are removed when you uninstall the Add-on.
• AI request content: Not retained. Content is processed in real-time and discarded upon completion.

7. Data Deletion

You may request the deletion of your account and associated data at any time by contacting us at mustafa.hesham591@gmail.com. Your request will be processed within 30 days.

Data stored locally within Google Apps Script (such as templates and settings) can be removed by uninstalling the Add-on. You may also revoke Pyramail's access to your Google account at any time through your Google Account Permissions page.

8. Your Rights

Depending on your location and subject to applicable law, you may have the right to access, correct, and delete the personal data we hold about you. To exercise these rights, please contact us at mustafa.hesham591@gmail.com. Your requests will be processed within 30 days.

You also have the right to:

• Revoke access: Remove Pyramail's permissions from your Google account at any time.
• Opt out of tracking: Email tracking features (opens, clicks, unsubscribes) are opt-in and configured per campaign. You are not required to enable them.
• Opt out of AI features: AI-powered email features are entirely optional.

If you are not a customer of Pyramail but have received an email sent via Pyramail, you may contact us at mustafa.hesham591@gmail.com to request access, correction, or removal of your Personal Data.

9. Security

We make reasonable efforts to provide a level of security appropriate to the risk associated with the processing of your data. We maintain organizational, technical, and administrative measures designed to protect Personal Data against unauthorized access, destruction, loss, alteration, or misuse.

All sensitive operations — including sending emails and processing AI requests — are performed server-side. Your Personal Data is only accessed by a limited number of personnel who need access to perform their duties.

Unfortunately, no data transmission or storage system can be guaranteed to be 100% secure. If you have reason to believe that your interaction with us is no longer secure, please contact us immediately at mustafa.hesham591@gmail.com.

10. Children's Privacy

Pyramail is a productivity tool designed for general use. We do not knowingly collect Personal Data from children under the age of 13. If you believe that a child under 13 has provided Personal Data to us, please contact us and we will promptly delete such information.

11. International Data Transfers

Our Service infrastructure is hosted on Google Cloud Platform. By using the Service, you acknowledge that your data may be processed and stored in data centers outside your country of residence. When transferring data across borders, we take measures to comply with applicable data protection laws related to such transfer.

12. Changes to This Privacy Policy

Pyramail reserves the right to update this Privacy Policy at any time, in particular pursuant to changes in applicable laws and regulations. When we make material changes, we will update the "Last Updated" date at the top of this document. We encourage you to review this Privacy Policy periodically.
